Key Responsibilities
- Act as the CEO's trusted confidant by managing information flow, distinguishing urgent business matters from non-essential administrative tasks with strategic judgment.
- Proactively anticipate and address the CEO's needs through predictive task management, including identifying recurring requirements and implementing proactive solutions.
- Coordinate and optimize the CEO's calendar by organizing multi-tiered scheduling, prioritizing time-sensitive appointments, and ensuring seamless integration with internal/external stakeholder commitments.
- Manage domestic and international travel logistics, including itinerary planning, vendor coordination, and ensuring all travel-related arrangements are executed flawlessly.
- Collaborate with cross-functional administrative teams on high-impact projects, contributing to organizational efficiency and fostering a dynamic work environment.
- Handle the CEO's personal administrative tasks such as managing important dates, coordinating personal shopping, arranging errands, and overseeing special occasion gift preparations.
- Provide end-to-end support for the CEO's expense reports and company documentation, ensuring accuracy, compliance, and timely submission of all records.
- Ensure availability beyond standard business hours, including weekends, to support the CEO's needs when required, maintaining a flexible and responsive work ethic.
- Act as a strategic partner to the CEO by anticipating future requirements, identifying potential challenges, and offering actionable recommendations for process improvement.
- Maintain professional relationships with external partners, vendors, and clients while ensuring all communications align with the CEO's business objectives and personal preferences.
Job Requirements
- Proven experience as a personal assistant to senior executives, with a demonstrated track record of managing high-level administrative and executive responsibilities.
- Excellent organizational skills with the ability to handle complex schedules, prioritize tasks effectively, and maintain multiple concurrent projects with precision.
- Strong communication abilities, including exceptional written and verbal skills, to convey information clearly and professionally to all levels of the organization.
- Proficiency in calendar management software and travel coordination tools, with the ability to create and maintain detailed schedules for both business and personal events.
- Ability to work independently with minimal supervision, while maintaining a high level of discretion and confidentiality in handling sensitive information.
- Excellent problem-solving skills to address unexpected challenges, resolve conflicts, and implement efficient solutions for the CEO's needs.
- Strong attention to detail to ensure accuracy in all administrative tasks, from document management to expense reporting and scheduling.
